The Operations Manager - Soft Services will report directly to the Managing Director and will be responsible for developing and driving the company's Soft Services delivery capability on the Isle of Man. The Operations Manager will embrace the development, implementation and management of a company wide QHSE system to support the business in its delivery of strategic growth through existing and future operations. This is a highly customer-focused role, building relationships with clients as well as sub contractors and managing directly employed staff.
Key Accountabilities:
This role will have responsibility for all soft services activities at client service sites in the Isle of Man, ensuring service level agreements and quality standards are met.
Act as a leader within the business, ensuring strict adherence to the company's core values.
Work with the Quality, Health, Safety and Environmental (QHSE) Manager to ensure emergency response arrangements are in place, current, and tested regularly.
Maintain approvals to ISO 9001, 14001, 18001, 27001 and other relevant accreditations, including BICS and SIA certification.
Identify recruitment requirements and communicate with the HR Manager.
Assist with hiring, onboarding, training and performance management of Soft Services personnel.
Ensure a sufficient bank of qualified and available staff to cover planned and unplanned absences, if necessary, personally cover unplanned absences.
Monitor and track staff attendance, hours booked and clocked hours.
Conduct daily inspections to monitor service standards and completion schedules.
Coordinate with other teams for additional or unscheduled work requests.
Develop and implement policies, procedures and controls for Soft Services.
Ensure all employees in Soft Services comply with QHSE management standards.
Assist the QHSE Manager in risk assessments, audits, investigations and reporting.
Support QHSE training initiatives and promote a culture of continuous improvement.
Drive preparation of monthly, quarterly and annual reports on Soft Services performance.
Participate in audits of critical suppliers and internal processes to minimise risk and maximise returns.
Maintain and update Soft Services procedures, tracking business performance and improvement areas.
Review data from audits, incident reports and customer feedback to identify trends and implement corrective actions.
Provide advisory support on Soft Services to management, engineers and project managers, including involvement in tender and pre-qualification processes.
Facilitate risk assessments, including COSHH, manual handling and fire prevention.
Attend project kick-off meetings and mobilisations as required.
Ensure compliance with legislation, industry standards and client requirements.
Key Interfaces :
Office and site personnel, including front-line staff, management and contractors, internal/external auditors and regulatory bodies and client representatives.
