Our client seeks an enthusiastic and organised administrator to join their fast paced team. You will provide administrative support to the office and its Directors. The ideal candidate will be proactive, a master of multitasking and an excellent communicator. This role would suit someone with an interest in development and sustainable construction but more importantly someone willing to work collaboratively to produce excellent outcomes. Key Responsibilities. Manage the phones and greet visitors. Sort, scan and distribute mail. Monitor company email accounts and reply to general enquiries. Coordinate diaries and organise meetings. Assist in preparing reports and presentations. Assist in preparing tenders, orders and appointments. Maintain and update company Policies. Attend meetings to take and produce minutes. Maintain accurate and organised company records. Organise and maintain the company SharePoint and physical filing systems. Maintain confidential database of all staff, consultants and subcontractors in line with the companies GDPR policy. Monitor and prepare social media posts. Manage and update the company website. Arrange for maintenance and repairs as needed for office equipment; including maintaining an inventory of office supplies and order as needed. Process, track and record invoice payments on multiple projects with assistance of company accountant. Maintain HR records and assist with recruitment. Collate and present data.Arrange company events. Performs a variety of related duties as assigned. Key Skills & Experience. Minimum Grade B in GCSE (or equivalent) Maths and English.2+ years previous secretarial or administration experience. Experience in a construction or maintenance environment desirable but not essential. Effective written and oral communication skills. Excellent customer service manner. Expertise with Word, Excel, PowerPoint, Outlook, SharePoint and Teams. Ability to set up and maintain an accurate filing system. Attention to detail and able to follow tasks through to completion. Ability to organise and set priorities, working effectively under pressure. Able to work independently with minimal supervision. Graphic Design skills / experience with Marketing advantageous. Ability to maintain confidentiality.
